Troubleshooting Common Team Inbox Issues

Summary

This guide provides immediate, actionable solutions for common operational issues encountered while handling conversations in the Team Inbox—including message delivery failures, sync delays, missing conversations, assignment prompts, and locked input bars.

1. Quick 4-Step Diagnostic Check

Before diving into specific issues, run through this quick 4-step checklist:

  1. Verify Your Active WhatsApp Business Number:
If your organization manages multiple WhatsApp numbers, check the WABA Selector dropdown in the top navigation bar. Confirm that you are viewing the specific phone line where the conversation originated.
  2. Refresh the Connection:
Click the Refresh icon at the top of the conversation list in the left sidebar to resynchronize the live feed with the server.
  3. Clear Sidebar Filters:
Check if you have an active search query, a specific tag filter, an assignee filter, or an active date range filter that might be hiding the conversation you are looking for.
  4. Check the Conversation 24-Hour Timer:
Look at the timer badge in the active chat header to verify whether the customer's 24-hour service window is open or expired.

2. Message Delivery Failures (Red Alert Icon)

Symptom:

A message you sent displays a red alert circle with a "Failed" status, or turns red in the chat timeline.

Common Causes & Fixes:

A. The 24-Hour Customer Service Window Has Expired

  • Why it happens: Meta strictly prohibits sending free-form text or media attachments if more than 24 hours have passed since the customer's last incoming message.
  • How to fix it:
    1. Look at the message composer area. If the window is expired, the text box will be replaced by an alert: "24h Window Expired — You can only send approved templates to re-open the conversation."
    2. Click Select Template.
    3. Choose an approved Meta WhatsApp Message Template (such as a utility update or customer follow-up) and send it.
    4. As soon as the customer replies to your template, the 24-hour free-form window will immediately reopen.

B. Media Caption Exceeds the 1,024-Character Limit

  • Why it happens: Meta enforces a strict ceiling of 1,024 characters for captions attached to images or documents.
  • How to fix it: Look at the character counter in the bottom right of the composer (e.g., 1120/1024). Delete or shorten the text until the counter is under 1,024 characters, or send the long text as a standalone follow-up message right after the file.

C. Attachment Exceeds 10 MB or Unsupported File Type

  • Why it happens: The document exceeds the 10 MB file size limit, or uses an unsupported file extension.
  • How to fix it: Supported document formats are PDF, DOC, DOCX, XLS, XLSX, PPT, PPTX, and TXT (up to 10 MB). For images, use standard JPEG or PNG files. Compress large PDFs before re-uploading.

D. Insufficient WhatsApp Wallet Balance

  • Why it happens: Outbound business-initiated templates require sufficient credit in your organization's prepaid WhatsApp balance. If the balance drops to zero, Meta will reject outgoing template dispatches.
  • How to fix it: Check the Wallet balance icon in the top header. If the balance is low or zero, contact your organization's administrator to recharge the wallet under Billing.

E. Invalid Phone Number or Country Code

  • Why it happens: The customer's phone number was entered without an international country prefix (e.g. missing +91 for India or +1 for North America).
  • How to fix it: Verify the phone number in the right-hand sidebar. WhatsApp requires complete international E.164 formatting without leading zeros, spaces, or dashes.

3. Inbound Sync Delays (Replies Require Page Refresh)

Symptom:

New customer messages or status updates only appear after you manually refresh your web browser.

Common Causes & Fixes:

A. Temporary Live Connection Interruption

  • Why it happens: Wi-Fi handoffs, VPN reconnections, or firewall timeouts can temporarily sever the live real-time event stream.
  • How to fix it: Click the Refresh button at the top of the chat sidebar to reconnect the live stream without reloading the entire application.

B. Browser Sleeping Tab Optimization

  • Why it happens: Web browsers (like Google Chrome and Microsoft Edge) automatically put inactive background tabs into "deep sleep" to conserve device memory and battery, pausing live data connections.
  • How to fix it:
    1. Open your browser settings (e.g. in Chrome: Settings → Performance).
    2. Under the "Always keep these sites active" section, click Add.
    3. Enter your Wabixo web application URL.
    4. Your browser will now keep the live messaging connection open continuously, even when working in another tab or application.

4. Locating "Missing" Conversations

Symptom:

A customer messaged your business, but their conversation cannot be found in your inbox list.

Step-by-Step Resolution:

  1. Switch from "Mine" to "All Chats":
At the very top of the left sidebar, check your view mode. If you are on the Mine tab, you will only see conversations explicitly assigned to your user account. Click All Chats to view the full queue.
  2. Check the Status Tabs:
The conversation may have been resolved or classified as spam:
    • Check the Solved tab to see if a colleague already answered and closed the ticket.
    • Check the Pending tab to see if the chat is snoozed.
    • Check the Junk Open or Junk Expire tabs to ensure the inquiry was not caught by an automated keyword filter.
  3. Clear the Date Range Filter:
If the calendar filter at the top of the conversation list is active, it may be hiding messages sent outside that selected date range. Click the calendar icon and select Clear.
  4. Search by Phone Number:
Type the customer's phone number into the search bar at the top of the sidebar. Searching by phone number matches across all queues regardless of current status.

5. Resolving Status & Takeover Prompts

Issue: "Change Status & Reassign?" Alert Pops Up

  • Why it happens: You attempted to change the status (e.g. marking as Pending or Solved) of a conversation currently assigned to another team member.
  • What to do:
    • If you are actively taking over responsibility for this customer, click Assign to Me.
    • If you are assisting a colleague by closing their ticket without claiming ownership, click Keep Assigned.
    • If you clicked the button by accident, click Cancel.

Issue: The "Mark Solved" Button is Disabled

  • Why it happens: Your administrator has enabled Require Closing Remark in Settings → Chat Configuration. The resolution button remains locked until text is typed into the resolution box.
  • What to do: Enter a brief sentence explaining how the customer was helped (e.g. "Sent invoice receipt and tracking link"). The button will activate immediately.

6. Quick Reply (/) Shortcut Issues

Issue: Typing / Does Not Open the Quick Reply Menu

  • Why it happens: The forward slash must be typed at the end of your message input. If typed in the middle of an existing sentence without a trailing slash, the shortcut trigger will not open the modal.
  • What to do: Press space and type / again, or simply click the Quick Reply (MessageSquare) icon in the bottom composer toolbar.
