GST Document Center & Transaction History

Summary​

Wabixo provides corporate tax compliance auditing and transaction history tracking across your entire workspace.

This system is organized into two primary tabs:

  • GST Document (/dashboard/billing?tab=profile): Upload, preview, download, and replace your official corporate GST Registration Certificate (PDF, PNG, or JPG up to 5MB).
  • Transaction History (/dashboard/billing?tab=history): Complete, immutable audit ledgers for messaging wallet recharges, subscription renewals, and plan upgrades/downgrades.

1. The GST Document Center (/dashboard/billing?tab=profile)​

The GST Document Center manages your official business tax certificate file.

[!IMPORTANT] No Manual Form Fields: Wabixo does not require manual typing of your business tax credentials, address, or GSTIN in a form. You simply upload your official government-issued GST Registration Certificate file, and the platform links the document directly to your billing profile.

Document Status Details:​

When a certificate has been submitted, the card displays:

  • File Name: Name of the uploaded document (e.g. GST_Certificate.pdf).
  • File Size: Displayed dynamically in KB or MB.
  • Upload Date: Date and time the document was submitted.
  • Uploaded By: Name of the team member who uploaded the file.
  • Status Badge: Confirms whether the certificate is Active.

File Upload Specifications:​

  • Supported Formats: PDF, PNG, JPG, JPEG.
  • Maximum File Size: 5 MB (strictly enforced). Files exceeding 5MB are automatically rejected with a toast alert: "File size exceeds maximum allowed limit of 5 MB".
  • Drag-and-Drop: You can drag and drop your certificate directly into the upload area or click Browse File.

Document Operations:​

  1. Preview Document (Eye icon): Opens an inline dialog modal with an embedded PDF viewer or high-resolution image preview without leaving the dashboard.
  2. Download Certificate (Download icon): Downloads the stored certificate file directly to your computer.
  3. Replace Document: Allows administrators to upload an updated certificate (e.g. following a business address update or legal entity change).

2. Transaction History & Audit Ledgers (/dashboard/billing?tab=history)​

The Transaction History Tab maintains three separate, non-editable audit tables detailing every financial transaction processed across your workspace:

Table 1: Wallet Recharge History​

Tracks all prepaid message balance top-ups:

  • Date: Timestamp of transaction authorization.
  • Phone Line: Target WhatsApp Business line name and phone number credited.
  • Payment Gateway: Gateway utilized (Razorpay or Paytm).
  • Amount Paid: Net amount credited to the messaging wallet.

Table 2: Plan Renewal History​

Logs periodic software subscription renewals:

  • Date: Date of renewal transaction.
  • Extended Term: Shows the new expiration date alongside the previous term.
  • Amount Paid: Total subscription renewal amount paid.
  • Status: Completed (Green) or Pending (Amber).

Table 3: Plan Change History​

Audits all self-service plan upgrades and downgrades:

  • Date: Date the plan change was submitted.
  • Plan Transition: Displays the origin and target plan (e.g. Launch ➔ Connect) along with remaining days at the time of change and transaction source (SelfService).
  • Amount Paid: The prorated difference paid for upgrades, or ₹ 0.00 (Downgrade) for tier downgrades.
  • Status: Completed (Green) or Pending (Amber).

3. GST Calculation on Invoices​

In accordance with statutory Indian taxation standards, all billing transactions (wallet top-ups, plan renewals, pro-rata upgrades, and extra agent seats) include a standardized 18% GST breakdown:

  • Intra-State Transactions: CGST (9%) + SGST (9%).
  • Inter-State Transactions: IGST (18%).

When an active GST Certificate is stored in the GST Document Center, all issued billing receipts reflect your organization's verified compliance status.

Q1: "Where do I upload my GST certificate?"​

Resolution: In the top navigation bar, click Billing and select the GST Document tab (/dashboard/billing?tab=profile). Drag and drop your official GST Certificate (Form REG-06) into the upload area or click Browse File. Supported formats are PDF, PNG, or JPG up to 5MB.

Q2: "Why did my GST certificate upload fail?"​

Resolution:

  1. Check file size: The document must be under 5 MB. If your scanned PDF exceeds 5MB, compress it before uploading.
  2. Check file format: Only PDF, PNG, JPG, or JPEG files are permitted. Word documents (.docx) or spreadsheets are not accepted.
  3. Account status: If an account has been terminated, document operations are disabled.

Q3: "Do I need to type in my GSTIN or billing address manually?"​

Resolution: No. There is no manual form to fill out. You only need to upload your official GST registration certificate file.

Q4: "Where can I view a history of all my previous wallet recharges and renewals?"​

Resolution: Go to Billing > Transaction History (/dashboard/billing?tab=history). This tab displays three itemized audit tables: Wallet Recharge History, Plan Renewal History, and Plan Change History.
